The Concierge and Workspace Coordinator plays a key role in the day-to-day operation of our coworking community, conference and event spaces. You’ll ensure members, guests and visitors receive an outstanding experience while supporting the smooth running of building operations. You’ll be responsible for coordinating meeting and event spaces, managing member services, supporting billing and reporting processes, assisting with marketing initiatives, and helping foster a connected and engaged community.
Job Responsibility
Deliver an exceptional experience for members, guests and visitors, acting as the welcoming face of Hickory Flex
Build strong relationships with members and foster a vibrant, connected coworking community
Coordinate member onboarding, move-ins and move-outs to ensure a seamless experience
Manage meeting room, conference and event bookings from enquiry through to delivery
Coordinate the setup and execution of events, including catering, vendors and on-site support
Ensure the coworking space is maintained to the highest standards of presentation, cleanliness and hospitality
Oversee day-to-day operational matters, including maintenance requests and member access requirements
Conduct regular walkthroughs to proactively identify and resolve issues
Support tours for prospective members and assist with membership enquiries and lead management
Assist with member billing, invoicing and debt collection activities
Prepare and maintain operational reports, expense tracking and accurate records
Support marketing initiatives through social media, community engagement and promotion of the Flex brand
Collaborate with internal teams and external stakeholders to deliver a seamless member and client experience
Assist with building administration, including visitor and contractor management and emergency procedures
Identify opportunities to improve processes, enhance the member experience and contribute to the ongoing success of the Flex community
Requirements
Previous experience in coworking, hospitality, events, customer service, property, workplace experience or community management
Experience in developing relationships with key stakeholders including suppliers, contractors, consultants and tenants
Exceptional communication and relationship-building skills
Strong organisational skills and the ability to manage multiple priorities simultaneously
High attention to detail and a commitment to quality
Confidence working across administration, technology platforms and reporting
Experience coordinating events or functions would be highly regarded
A genuine passion for creating welcoming and engaging environments
Basic Experience in content creation and graphic design in platforms such as Canva, Adobe InDesignand Adobe illustrator will be beneficial
Financial acumen and business operations experience will be viewed favourably
Experience managing social media accounts, survey monkey, Office RND, campaign monitor and mailchimp will be advantageous
