As our Compliance & Property Onboarding Specialist, you’ll play a critical role in bringing new properties online, keeping us compliant across multiple jurisdictions, and ensuring every 'i' is dotted and every 't' is crossed—from licensing to taxes to utilities. We are looking for a detail-driven, process-minded professional who thrives on organization, enjoys solving complex regulatory puzzles, and takes pride in getting things right the first time.
Job Responsibility:
Own the end-to-end onboarding process for new properties, ensuring timely and complete setup
Drive properties to go-live within defined onboarding timelines
Track onboarding progress and proactively follow up on outstanding items
Ensure all required documentation is collected, reviewed, and approved
Manage and maintain all required state, county, and local licenses for short-term rental operations
Ensure 100% license coverage across all active properties with zero lapses
Maintain a renewal calendar and proactively manage upcoming expirations
Stay current on local ordinances and regulatory changes across all jurisdictions
Serve as the primary point of contact for compliance-related inquiries, audits, and inspections
Identify and escalate compliance risks to leadership and implement controls to mitigate exposure
Register properties for applicable sales, tourist development, and lodging taxes
Ensure accurate tax setup within systems (PMS, NetSuite, and related platforms)
Partner with Accounting to support accurate tax filings and remittances
Maintain complete and audit-ready documentation supporting tax compliance
Proactively identify gaps or risks in tax setup and escalate as needed
Coordinate setup and transfer of utilities (electric, water, internet, etc.) for new properties
Ensure all services are active prior to property go-live
Maintain vendor relationships and accurate account records
Review and validate all compliance-related documentation for accuracy and completeness
Maintain organized, centralized digital records for all properties and owners
Ensure all documentation is audit-ready and aligned with company policies
Develop, document, and maintain SOPs for onboarding and compliance workflows
Partner with IT and Operations to improve automation, tracking, and system integrations
Ensure data accuracy across systems (e.g., NetSuite, PMS, workflow tools)
Identify inefficiencies and implement scalable process improvements
Requirements:
Bachelor's degree in Business, Hospitality, Accounting, or a related field preferred
3–5+ years of experience in compliance, licensing, tax administration, property management, or short-term rental operations
Strong understanding of multi-jurisdictional compliance and regulatory environments
Knowledge of sales and lodging tax processes and coordination with accounting teams
Experience managing onboarding workflows and detailed documentation
Proficiency with PMS systems, accounting software (NetSuite a plus), and Microsoft Excel
Exceptional organizational skills with a sharp eye for detail
Strong communication skills and confidence working with internal teams, owners, and agencies
A proactive, solutions-oriented mindset with a passion for process improvement
