The Compliance Coordinator is responsible for running the end-to-end compliance process for SENse Learning’s Associate workforce, ensuring that safer recruitment standards are met without exception and that every Associate joining our team is fully cleared, trained and ready to support the young people we work with. This role sits within the HR team and is pivotal to the integrity of our Single Central Record (SCR), the timeliness of our onboarding pipeline, and our ability to respond at pace to urgent local authority referrals. It is a meticulous, detail-led role that combines compliance discipline with the warmth and clarity needed to guide candidates through the final stages of our compliance process.
Job Responsibility
Manage the end-to-end onboarding process for new Associates
Own the full DBS lifecycle for the Associate workforce
Chase, review and verify professional references
Process and verify identity documents, right-to-work evidence, qualifications, training certificates and other safer recruitment documentation
Maintain Associate contracts
Move priority Associates through the compliance process at pace
Maintain the integrity and accuracy of SENse Learning’s Single Central Record
Keep all Associate records, application notes and supporting files up to date within our ATS / CRM software
Carry out regular compliance audits across Associate records
Manage annual safer recruitment re-check
Run onboarding and compliance reports to surface upcoming renewals
Manage SENse Learning’s CPD platform
Engage active Associates to maintain their records
Ensure all Associates complete required induction and safeguarding training
Act as the primary point of contact for Associates after interview
Manage the compliance inbox
Coordinate communication between the compliance function and other teams within SENse Learning
Support team members across the business with compliance-related queries on Associate applications
Hold the Health & Safety Officer role for Head Office
Hold the Fire Marshal role for Head Office
Provide ad-hoc support to the HR team on projects, audits, minute-taking and head office activity
Carry out any other reasonable duties to support the HR team and wider business
Maintain the integrity of SENse Learning’s safer recruitment and safeguarding practices
Uphold the highest standards of confidentiality, professionalism and ethics
Requirements
Manage the end-to-end onboarding process for new Associates, from successful interview through to ready-to-work status, ensuring full adherence to safer recruitment requirements at every stage
Own the full DBS lifecycle for the Associate workforce coordinating with candidates to resolve any issues that arise
Chase, review and verify professional references, escalating discrepancies, anomalies or gaps to the HR Lead
Process and verify identity documents, right-to-work evidence, qualifications, training certificates and other safer recruitment documentation in line with KCSIE requirements and GDPR
Maintain Associate contracts – issuing new contracts, processing amendments, and ensuring all are signed and returned in good time
Move priority Associates through the compliance process at pace to meet urgent placement needs, balancing speed with the integrity of every check
Maintain the integrity and accuracy of SENse Learning’s Single Central Record, ensuring it is audit-ready at all times
Keep all Associate records, application notes and supporting files up to date within our ATS / CRM software, which hosts candidate and employee data alongside the SCR
Carry out regular compliance audits across Associate records, identifying and resolving gaps proactively
Manage annual safer recruitment re-check – including DBS, insurance certificates, MOTs, driving licence and training – supported by the wider team
Run onboarding and compliance reports to surface upcoming renewals, lapsed documentation and at-risk records
Manage SENse Learning’s CPD platform – enrolling and removing Associates, supporting them with platform queries and ensuring training records are accurate
Engage active Associates to maintain their records and keep their statutory training up to date
Ensure all Associates complete required induction and safeguarding training before any work with students begins
Act as the primary point of contact for Associates after interview, guiding them through onboarding and troubleshooting any issues that arise
Manage the compliance inbox, responding to queries from candidates, Associates and colleagues with clarity and care
Coordinate communication between the compliance function and other teams within SENse Learning, primarily via Slack
Support team members across the business with compliance-related queries on Associate applications
Hold the Health & Safety Officer role for Head Office, ensuring compliance with required legislation and escalating issues to the HR Lead or a Director
Hold the Fire Marshal role for Head Office, leading evacuations and fire drills
Provide ad-hoc support to the HR team on projects, audits, minute-taking and head office activity as required
Carry out any other reasonable duties to support the HR team and wider business
Maintain the integrity of SENse Learning’s safer recruitment and safeguarding practices within the onboarding flow at all times
Uphold the highest standards of confidentiality, professionalism and ethics in all internal and external interactions

Due to the nature of this position, any offer of employment will be subject to a satisfactory checking report from the Disclosure and Barring Service at an enhanced level as well as receipt of, at least, two recent satisfactory professional references
