Job Responsibility:
Act as the first point of contact for learners, providing professional support in person, by telephone and digitally
Support learner recruitment by managing course enquiries and contacting potential learners to arrange interviews, inductions and enrolments
Deliver high-quality Information, Advice and Guidance (IAG) to ensure learners are placed on appropriate programmes and understand progression opportunities
Support the wider team with learner enrolment and onboarding
Complete web enrolments and ensure learner data is accurate and up to date across MIS and internal systems
Process learner paperwork including eligibility checks, residency, benefits, ID, DBS applications and funding documentation
Maintain accurate learner files and audit trails in line with funding and compliance requirements
Monitor learner attendance across community delivery sites, liaising with tutors and managers as required
Contact learners where attendance or engagement concerns arise and support early intervention activity
Collect and record learner outcomes and associated evidence where applicable
Support learners with bursary and financial support applications, including collecting, checking and chasing evidence
Resolve learner finance queries in line with funding rules and internal processes
Provide pastoral support to learners and escalate safeguarding or welfare concerns in line with policy
Liaise with employers to support work placement set-up, attendance and progression
Support tutors with health and safety documentation related to work placements
Undertake reception duties across community sites where required, providing advice and guidance to learners, colleagues and visitors
Support tutors with learner inductions and ensure required paperwork is prepared
Invigilate exams when instructed
Support the coordination of resources, stock checks and procurement activity where required
Work with the property team to report and follow up building issues through internal systems
Be available to support other academies or community sites in line with business needs
Complete Health & Safety and First Aid training as required and promote a safe learning environment
Requirements:
Excellent verbal and written communication and interpersonal skills
Previous experience in an administration/compliance role
Proficient IT skills including MS suite and PowerBi (desirable)
Strong administrative, time-management and organisational skills
Experience working in education, training or community-based settings
Ability to manage multiple priorities and work independently across sites
Confident and professional telephone manner
Learner-centred and customer-focused approach
Knowledge of safeguarding and learner support practices
Strong attention to detail and ability to maintain accurate records
Full UK Drivers License and access to own vehicle - must be able to commit to weekly travel Huddersfield and Sheffield, and fortnightly to Middlesbrough.
Nice to have:
Experience within Further Education/Training and/or Study Programmes
Health & Social Care, Childcare or Hair & Beauty background
Knowledge of funding, bursaries and MIS systems
Experience engaging with employers or external stakeholders
Understanding of barriers faced by disadvantaged or vulnerable learners
