Make a Real Difference at the Heart of Our Community. We’re looking for a proactive, people‑centred Community Administration Assistant to help deliver a best‑in‑class experience for our members and visitors. You’ll be the friendly, efficient first point of contact in the synagogue office—supporting membership, communications, finance/HR administration, and life‑cycle events alongside our Executive Community Manager, Rabbinic team and lay leaders.
Job Responsibility:
Be the welcoming first contact: phones, email and in‑person queries—responding promptly, courteously and effectively
Maintain the synagogue diary, manage correspondence and mailings
coordinate deliveries and visitors
order supplies and resources
Ensure information is handled and stored correctly in line with US byelaws and data/privacy requirements
Assist prospective members through the joining process
keep membership records accurate and up to date
Support life‑cycle moments (Bar/Bat mitzvah, weddings, bereavements) with care and professionalism
maintain the Yahrzeit register and reminders
Support the production of engaging content for screens and social media using tools such as Canva/Ablesign
support the production of the weekly newsletter when required
Be responsible for processing payments, direct debits and banking
issue and reconcile invoices
track subscriptions and follow up on arrears and assist with debtor collection
Manage expense claims and purchase payments, support CST grant administration and event income reconciliation
Oversee bookings for halls/functions, arrange set‑ups, security and cleaning
support building contracts/utilities as directed
From time to time, attend functions and events in the events in the absence of the ECM
Take a proactive approach to your own learning and attend training as appropriate
Requirements:
A genuine commitment to excellent customer service and community care
Strong administration skills and meticulous attention to detail across data, diaries and documents
Confidence with Office 365 and digital tools like Canva, or social media platforms
A level of numeracy competence in line with the finance responsibilities
Clear, friendly communication and the ability to prioritise in a busy office
A collaborative approach, comfortable working with staff, lay leaders and volunteers
Understanding of synagogue life and Jewish community events (helpful, not essential)
Successful applicants will be required to provide a self-disclosure once shortlisted and subject to an enhanced DBS check within the recruitment process
