We are looking for a skilled and detail-oriented Commercial Property Administrator to join our team in Temecula, California. This Contract-to-Permanent position offers the opportunity to work with a dynamic commercial property management company, providing administrative support and ensuring the seamless operation of property management processes. The ideal candidate will bring 3-5 years of relevant experience and proficiency in Microsoft Office Suite and Yardi software.
Job Responsibility:
Provide comprehensive administrative support to property managers, including managing schedules, drafting correspondence, and preparing meeting agendas
Assist with lease administration, including drafting agreements, maintaining compliance records, and tracking key deadlines for renewals and expirations
Prepare and update detailed property management reports, tenant lists, and budget documents using Microsoft Office and Yardi
Maintain organized filing systems for property records, contracts, and vendor agreements in both physical and digital formats
Coordinate communication with vendors and contractors, ensuring necessary documentation is obtained and scheduling property maintenance as needed
Collaborate with the property management team to ensure efficient daily operations and address administrative or tenant-related issues proactively
Manage property and tenant data within the Yardi system, generating accurate reports and tracking metrics
Support the preparation and monitoring of property budgets, ensuring all financial documentation is accurate and up to date
Facilitate tenant communications, addressing inquiries professionally and resolving concerns in a timely manner
Requirements:
A minimum of 3-5 years of administrative experience, preferably in commercial property management or a related industry
Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint
Experience with Yardi property management software and its reporting features
Solid understanding of commercial leases, property management operations, and basic real estate terminology
Strong written and verbal communication skills to interact effectively with tenants, vendors, and team members
Exceptional organizational skills with a focus on detail and the ability to prioritize tasks under tight deadlines
A proactive approach to problem-solving and identifying administrative solutions
Familiarity with vendor coordination and compliance documentation, such as insurance certificates and W-9 forms
