Job Description

The Commercial Coordinator is responsible for providing administrative support to the Catering, Sales and Marketing teams, with a primary focus on Catering operations. This role supports the Director of Catering and the Director of Public Relations & Marketing in coordinating commercial activities, maintaining systems and databases, preparing client and event documentation, and ensuring seamless communication across hotel departments.

Job Responsibility

  • Maintain Golden Sales & Catering accounts, including creating and updating bookings, managing traces, manipulating events in the function diary, and preparing Banquet Event Orders
  • Support the planning and coordination of catering events and internal Four Seasons meetings
  • Prepare and distribute Catering correspondence to hotel operating departments, including Banquet Event Orders, Resumes and Amenity Cards
  • Maintain Catering files and databases, both electronic and paper, ensuring all records are accurate and up to date
  • Provide administrative support to the Sales and Marketing teams, including coordinating site inspections, familiarization trips, amenities, reservations and general client requests
  • Assist with departmental reporting, expense processing, and maintaining commercial databases
  • Provide telephone coverage for the Commercial Office and serve as a liaison between clients, guests and hotel departments

Requirements

  • College education preferred
  • Previous administrative experience in hospitality, catering, sales or a related field required
  • Food and Beverage knowledge is a plus
  • Excellent organizational skills, attention to detail and the ability to manage multiple priorities in a fast-paced environment
  • Strong communication and interpersonal skills with the ability to work effectively with clients and all levels of management
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook
  • Working knowledge of Opera is strongly preferred

  • Food and Beverage knowledge is a plus
