Job Description

You will provide comprehensive administrative support to the Commercial department, ensuring the smooth and efficient operation of day-to-day activities. The role is key to supporting managers and teams with organisation, coordination, and accurate record keeping, enabling the department to operate effectively and meet its objectives.

Job Responsibility

  • Raising and issuing purchase orders in line with company procedures
  • Maintaining procurement schedules, order trackers, and requisition logs
  • Compiling and issuing subcontract documentation packs
  • Supporting tender enquiries and collating subcontractor returns
  • Monitoring aged orders, outstanding invoices, and payment queries
  • Producing weekly and monthly commercial reports
  • Maintaining KPI trackers, accrual schedules, and final account records
  • Managing retention schedules and contra charges
  • Monitoring subcontractor insurances, H&S documentation, and compliance records
  • Maintaining commercial filing systems and document control processes
  • Supporting plant hire tracking and site commercial records
  • Providing general office and administrative support, including inbox management and reception cover

Requirements

  • Experienced in a property, construction, or commercial administrative role (preferred)
  • Highly organised with strong attention to detail
  • Confident using Microsoft Office (Word, Excel, Outlook)
  • Calm and professional in a busy environment
  • Comfortable managing multiple priorities and meeting deadlines
  • Equipped with strong written and verbal communication skills
  • Customer-focused and confident handling queries and challenging situations
