The Collections Specialist manages the company’s outstanding receivables by following up on overdue invoices, resolving billing discrepancies, and securing timely payments to support healthy cash flow. This role communicates directly with customers to negotiate payment arrangements, researches account issues, documents collection activity, and collaborates with internal departments to ensure accuracy in billing and account maintenance. The Collections Specialist also prepares aging analyses, supports month‑end close, and contributes to continuous process improvements that reduce delinquency rates and strengthen credit and collection practices.
Job Responsibility:
Manage daily outbound collection efforts on past‑due customer accounts
Review account aging and prioritize follow‑up activities
Investigate and resolve billing discrepancies, disputes, and short‑pays
Negotiate payment plans and secure commitments when needed
Document all customer communications and collection actions
Reconcile customer accounts and ensure accurate application of payments
Partner with AR, billing, sales, and customer service to resolve issues
Prepare reports on collection status, delinquency trends, and risk exposures
Support month‑end close activities related to AR and cash posting
Recommend accounts for escalation, write‑off, or third‑party collections as appropriate
Requirements:
2–5 years of collections, credit, or accounts receivable experience
High school diploma required
associate’s or bachelor’s degree in Accounting, Finance, or Business preferred
Experience with ERP/accounting systems (e.g., NetSuite, SAP, Oracle, Microsoft Dynamics, QuickBooks)
Strong Excel skills (v‑lookups, pivot tables a plus)
Familiarity with credit & collection procedures and regulations
Strong negotiation and communication skills
Confident, professional phone presence
High attention to detail and accuracy
Ability to manage high‑volume portfolios and meet deadlines
Problem‑solving mindset, especially when handling disputes
Comfortable working in a fast‑paced, metrics‑driven environment
