Job Description:

The town of Easton is accepting applications for a qualified individual to fill the position of full time Collections Assistant. The Collections Assistant provides financial record keeping, bookkeeping, computer application work and clerical work under the direction of the Collector/Treasurer and in accordance with Massachusetts General Laws, town policies, bylaws and Massachusetts Department of Revenue and federal law.

Job Responsibility:

  • providing financial record keeping, bookkeeping, computer application work and clerical work under the direction of the Collector/Treasurer
  • answering inquiries from taxpayers
  • performing a wide variety of general clerical duties
  • creating correspondence using regular mail, email, printed reports and spreadsheet programs
  • maintaining cash book
  • accepting, coding, collecting and balancing all types of town payments
  • balancing money received from town departments
  • creating daily turnover sheets
  • printing all types of bills
  • balancing tax receivables yearly or more often as needed
  • creating files for all bills
  • working with multiple interruptions

Requirements:

  • High school graduate
  • associate degree preferred
  • three years’ experience in banking, clerical, accounting or bookkeeping work
  • municipal experience preferred or any equivalent combination of education and experience

  • Maintain organized case files and track deadlines for collections and unlawful detainer matters, ensuring all necessary actions are taken and documents are filed within prescribed timelines
  • Communicate with clients regarding the status of their collections and unlawful detainer cases, answering questions, updating on progress, and ensuring clients are informed of next steps
  • Serve as a point of contact between the firm, courts, and other legal entities, ensuring smooth communication and timely processing of cases
  • Assist with invoicing clients for collections-related services and ensure that records of all communications, filings, and court actions are properly documented and maintained
  • Keep current on legal processes, forms, and changes in collections and unlawful detainer laws, and communicate any significant changes to the team
