Job Description:

Part of the Co-production team, the Co-production Administrator is a supportive and collaborative role at Migrant Help. You will work with the Co-production team to provide administrative support so we can deliver on our Co-production Strategy. You will play an important role in supporting the team's efforts to foster collaboration between service users, staff, trustees, and volunteers to deliver on impactful projects. The role will involve a range of administrative tasks that contribute to the smooth functioning of co-production initiatives. You will be required to adopt a pro-active approach towards improving administrative and financial processes in line with any updated requirements.

Job Responsibility:

  • Support service users, staff, trustees, and volunteers join co-production projects
  • Identify and address any barriers that make it hard for service users to take part in co-production projects and related opportunities
  • Organise, coordinate, and set up workshops and meetings relevant to co-production projects
  • Take notes during meetings to document discussions and action items
  • Prepare and distribute meeting materials and papers in advance as required
  • Assist with the distribution of laptops and equipment, ensuring their availability and proper functioning for service users
  • Support grant and invoicing processes while ensuring they comply with relevant guidelines
  • Aid in the administrative aspects of new co-production projects, contributing to their success
  • Collate and assist in the production of reports and end-of-project evaluations to document outcomes and impact
  • Maintain a systematic and efficient filing system for service-user and volunteer data, research findings, and strategic activities related to co-production projects
  • Provide support to team members, optimising their daily workflow
  • Assist with managing team diaries, communications, meetings, and travel arrangements, as well as handling expense-related tasks
