Job Description:

The Admin Associate plays a key role in supporting maintenance operations through the effective management and optimization of the Computerized Maintenance Management System (CMMS). This position ensures data integrity, facilitates workflow efficiency, manages reporting and documentation, and provides training and support to CMMS users. The role also contributes to budgeting, forecasting, and continuous improvement initiatives within the Facilities department.

Job Responsibility:

  • Maintain and update the CMMS system to ensure all data, work orders, and assets are accurate and current
  • Review weekly PM/CAL work orders and asset activations, coordinating scheduling with the maintenance team
  • Compile and monitor weekly activity reports, tracking maintenance projects and ensuring timely completion
  • Audit CMMS data and asset structures to maintain precision and compliance with standards
  • Monitor and track capital requisitions, purchase orders, vendor deliveries, and invoices
  • Support onboarding and updates for Cap-Ex equipment, including decommissioning and data modifications
  • Provide CMMS training and troubleshooting support to end-users and new employees
  • Conduct data analysis on parts and assets, offering recommendations for system and process improvements
  • Analyze and present facilities metrics to the Facilities Engineering Manager, identifying trends and opportunities for improvement
  • Audit and report on spare parts inventory through weekly cycle counts
  • Assist with facilities budget tracking and forecasting for R&M and Capital Expenditures
  • Manage and promote the 5S program to maintain an organized and efficient workspace

Requirements:

  • Associate degree in Business Administration, Facilities Management, Information Technology, or a related field
  • Prior hands-on experience with a CMMS or similar maintenance management software
  • Understanding of cGMP (Current Good Manufacturing Practices) principles
  • Strong data management and reporting skills with attention to detail
  • Experience training and supporting software users
  • Familiarity with budgeting, forecasting, and cost tracking for maintenance operations
