We are looking for a Clinic Coordinator to support a busy neurosurgery practice in California. This Clinic Coordinator position is ideal for someone who combines strong front desk coordination skills with a patient-focused approach and the ability to keep daily clinic operations organized. Working closely with the provider and clinical staff, this person will help create a smooth experience for patients while ensuring administrative processes are handled accurately and efficiently.
Job Responsibility
Coordinate patient visits by arranging new appointments, return visits, and procedure-related scheduling while helping maintain an efficient daily flow
Serve as a central point of contact for patients, the provider, and outside medical offices to ensure timely and attentive communication
Update, organize, and safeguard patient documentation in electronic records systems with close attention to accuracy and confidentiality
Review insurance information, assist with authorization-related follow-up, and respond to routine billing questions from patients
Help keep front office and exam room operations running effectively by monitoring supplies, supporting room readiness, and managing the provider calendar
Handle incoming calls, greet visitors, and provide courteous front desk support that reflects a high standard of patient service
Perform general administrative duties such as data entry, file organization, correspondence, and other office support tasks as needed by the clinical team
Requirements
At least 2 years of experience in an administrative or medical office role, ideally within a specialty practice
Demonstrated ability to manage multiple priorities with strong organization and attention to detail
Clear and attentive communication skills with a patient-centered and service-oriented approach
Working knowledge of electronic medical records systems and Microsoft Office applications, including Word, Outlook, and Excel
Familiarity with medical terminology, insurance verification, and authorization processes is preferred
Ability to maintain discretion when handling confidential patient and practice information
Comfortable using multi-line phone systems and supporting a fast-paced front desk environment
