Job Description:

This is a high-impact administrative role supporting advisers and paraplanners by owning key operational processes, managing workflow momentum, and acting as a central point of coordination across providers, clients, and internal teams. You will be trusted with responsibility, visibility, and influence — helping ensure cases progress efficiently, files remain complete and compliant, and advisers can focus on delivering advice.

Job Responsibility:

  • Manage the UK Client Services mailbox, handling a high volume of inbound enquiries efficiently and professionally
  • Act as first point of contact for providers and admin-level client queries
  • Prepare, issue, and track client agreements and related documentation
  • Send Letters of Authority (LOAs) to providers and actively chase responses
  • Obtain client valuations in advance of annual reviews
  • Process new business applications accurately and in line with internal procedures
  • Log and manage all new business through internal registers and systems
  • Maintain pipeline momentum, ensuring cases progress without unnecessary delay
  • Provide regular updates to advisers on case status and next steps
  • Take ownership of file completeness and operational readiness prior to advice and reporting stages
  • Support the preparation and issuance of suitability reports to clients
  • Oversee agency transfers and liaise with providers where required
  • Assist in drafting, maintaining, and improving operational processes and templates
  • Support and help coordinate the UK re-patriation project
  • Assist with internal projects, including template upgrades and process improvements
  • Support the onboarding of new team members
  • Provide general adviser support and workflow coordination across the hub

Requirements:

  • Experience in a financial services administration role (IFA / Wealth Management preferred)
  • Strong organisational skills and attention to detail
  • Confidence managing multiple cases and competing priorities
  • Professional communication skills with clients, providers, and colleagues
  • Comfortable working with systems, registers, and structured processes

Nice to have:

  • Experience supporting advisers and paraplanners in an advice-led environment
  • Exposure to transfers, new business processing, or re-patriation cases
  • A proactive mindset with a desire to improve how things are done
What we offer:
  • Be part of a growing, ambitious UK business with a clear strategy
  • Work in a modern hub model where your role genuinely matters
  • Gain exposure to advisers, paraplanners, and complex client work
  • Opportunity to develop your career as the UK team continues to expand
  • Supportive, collaborative culture focused on quality and professionalism
