We are looking for a detail-oriented Client Services Representative to join our team in Winter Park, Florida. In this role, you will be responsible for supporting executive leadership, managing administrative workflows, and ensuring the office operates smoothly and efficiently. The ideal candidate will excel in organization, critical thinking, and effective communication.
Job Responsibility:
Coordinate and oversee daily office operations, including scheduling, vendor management, mail services, and facility coordination
Maintain organized records for vendor contracts, service agreements, and document retention systems
Assist in preparing agendas, minutes, and materials for internal meetings, board sessions, and committee gatherings
Support compliance efforts by collecting data, preparing reports, and responding to examiner requests
Manage marketing communications processes and ensure timely delivery
Facilitate onboarding and offboarding processes, including equipment setup and system access
Collaborate with IT providers to address office technology needs and troubleshoot system issues
Process client transactions, maintain financial reports, and ensure accurate documentation
Research and resolve client concerns while delivering exceptional service
Plan and coordinate employee appreciation events and social activities
Requirements:
Associate degree required
Bachelor's degree in business administration, accounting, communication, or a related field preferred
Minimum of 3 years of experience in office administration, client service, or project management
Strong organizational skills with the ability to multitask effectively
Excellent written and verbal communication capabilities
High attention to detail and accuracy in all tasks
Proficiency in Microsoft 365 and other office software
Ability to work independently while contributing to a team environment
Detail-oriented approach with the ability to interact confidently with clients, vendors, and senior leadership
