The Client Services Associate is responsible for providing a professional and welcoming first impression to clients, guests, and employees, while also handling front desk coverage during regular business hours. As part of the administrative team, this role will assist colleagues with various administrative tasks and provide general support as needed on a daily basis. Job Responsibility:
Provide front desk coverage during normal business hours
Answer phone calls promptly, professionally, and in a friendly manner
Maintain a clean, organized, and welcoming reception area
Greet clients, assist with intake forms, and guide them through necessary processes
Assist clients with picking up documents, tax returns, and other materials and making payments at time of pick up
Coordinate the distribution of New Client Questionnaires and schedule appointments
Handle postage label printing and mail tracking
Check in documents received and ensure proper routing to the appropriate team members
Distribute faxes and other correspondence as required
Open and close the front door daily, ensuring proper security protocols
Coordinate Monthly Newsletter
Provide general support to all firm members as requested
Requirements:
High school diploma required
At least two years of related experience preferred
Excellent verbal and written communication skills
Strong interpersonal and customer service skills
Exceptional organizational skills with keen attention to detail
Ability to manage time effectively and meet deadlines
Strong problem-solving and decision-making abilities
Ability to prioritize tasks and stay organized in a fast-paced environment
Proficient in Microsoft Office Suite and related software
Ability to maintain professionalism and composure in stressful situations
Ability to sit for extended periods while working at a desk and using a computer
