Job Description:

We are seeking a highly organized and proactive Client Services Administrative Coordinator to support our advisors and clients. This multi-faceted role is ideal for someone who thrives in a dynamic environment and enjoys a variety of administrative and client service responsibilities.

Job Responsibility:

  • Answer and direct incoming calls
  • assist or route as needed
  • Schedule and coordinate calendar appointments for Advisors
  • Handle mail processing, including client statements and special mailings
  • Order, stock, and manage office supplies
  • Prepare labels for files and packages
  • process UPS shipments
  • Organize, scan, file, copy, and maintain client paperwork
  • Update and maintain client data in Redtail CRM
  • Process check deposits and client money movement requests
  • Support social media and client newsletter activities with PR firm
  • Prepare reports and documents as requested by Advisors
  • Communicate with broker/dealer and product providers
  • Use web tools to manage client requests and business processes
  • Resolve or escalate client issues and service inquiries
  • Assist with event planning and client correspondence
  • Maintain broker records, logs, and office technology
  • Perform additional client service and administrative tasks as assigned

Requirements:

  • Proven experience in office administration or client service (financial services background a plus)
  • Proficiency with office software and CRM systems (experience with Redtail preferred)
  • Strong organizational, communication, and multitasking skills
  • Positive attitude, adaptability, and attention to detail

  • Partner with client services on tasks such as proposal or SOW preparation, call setup, status updates, and other coordination tasks for business development
  • Pitch coordination: timelines, routing, and process management with Client Services Leadership
  • Support meeting coordination and routing of agenda items and action items post-call to ensure clarity and accountability
  • Support team meetings management and scheduling
  • Support regular project status meetings with internal core team and clients as necessary
