We are seeking a Client Scheduling Coordinator to support appointment coordination and client service operations for a long-term contract position. In this role, you will manage scheduling activities, respond to inquiries efficiently, and help create a smooth experience for clients and business partners. Job Responsibility
Coordinate appointments across multiple calendars to align client needs with business availability and service expectations
Respond to scheduling requests, inquiries, and follow-up items promptly while maintaining a professional and customer-focused approach
Utilize internal systems and departmental resources to complete daily assignments accurately, efficiently, and within established timeframes
Review scheduling details carefully to minimize errors and ensure a positive client experience
Communicate updates, issues, and support needs clearly with team members, business partners, and leadership
Collaborate with internal stakeholders to resolve inquiries within established service-level expectations
Monitor recurring scheduling trends, availability patterns, and service concerns, providing regular feedback and observations to leadership
Participate in training and adapt to assigned schedules based on business needs and demonstrated proficiency
Requirements
Excellent customer service and communication skills, both written and verbal
Experience coordinating appointments, managing schedules, or performing administrative support in a fast-paced environment
Strong organizational skills with exceptional attention to detail and accuracy
Proficiency in Microsoft Office applications, including Outlook and Excel, along with the ability to learn new systems quickly
Ability to manage multiple priorities, meet deadlines, and adapt to changing business needs
Comfortable working both independently and collaboratively in a team-oriented environment
Flexibility to work a hybrid schedule and adjust responsibilities or shift assignments as operational needs evolve
