Job Description

We are seeking a Client Scheduling Coordinator to support appointment coordination and client service operations for a long-term contract position. In this role, you will manage scheduling activities, respond to inquiries efficiently, and help create a smooth experience for clients and business partners. This opportunity is ideal for someone who is organized, detail-oriented, and comfortable working in a structured, team-focused environment with a hybrid work schedule.

Job Responsibility

  • Coordinate appointments across multiple calendars to align client needs with business availability and service expectations
  • Respond to scheduling requests, inquiries, and follow-up items promptly while maintaining a professional and customer-focused approach
  • Utilize internal systems and departmental resources to complete daily assignments accurately, efficiently, and within established timeframes
  • Review scheduling details carefully to minimize errors and ensure a positive client experience
  • Communicate updates, issues, and support needs clearly with team members, business partners, and leadership
  • Collaborate with internal stakeholders to resolve inquiries within established service-level expectations
  • Monitor recurring scheduling trends, availability patterns, and service concerns, providing regular feedback and observations to leadership
  • Participate in training and adapt to assigned schedules based on business needs and demonstrated proficiency

Requirements

  • Excellent customer service and communication skills, both written and verbal
  • Experience coordinating appointments, managing schedules, or performing administrative support in a fast-paced environment
  • Strong organizational skills with exceptional attention to detail and accuracy
  • Proficiency in Microsoft Office applications, including Outlook and Excel, along with the ability to learn new systems quickly
  • Ability to manage multiple priorities, meet deadlines, and adapt to changing business needs
  • Comfortable working both independently and collaboratively in a team-oriented environment
  • Flexibility to work a hybrid schedule and adjust responsibilities or shift assignments as operational needs evolve
