We are looking for a detail-oriented Client Intake specialist to support legal service operations in Milwaukee, Wisconsin. This is a Contract position suited for someone who can balance compassionate client interaction with sound judgment, strong organization, and careful documentation. The person in this role will help evaluate incoming requests for assistance, guide prospective clients through the intake process, and maintain accurate case information while supporting a team focused on serving community legal needs.
Job Responsibility
Handle incoming phone and online inquiries, assess the nature of each request, and connect individuals with appropriate internal teams or outside community resources
Conduct initial intake conversations to evaluate eligibility for legal services and gather the facts needed to determine whether a matter meets case acceptance guidelines
Review information provided by prospective clients, identify key legal or service-related issues, and document details clearly within case records
Explain the intake outcome and next steps to applicants in a clear, respectful, and client-centered manner
Maintain current knowledge of community support services and issues affecting low-income and vulnerable populations in order to make informed referrals
Organize, review, and maintain paper and electronic case materials to ensure files are complete, accurate, and easy to access
Close matters promptly and accurately once intake or related work has been completed, following established documentation standards
Support legal assistant and paralegal-related administrative work tied to client intake, case tracking, and records management
Use case management databases, Microsoft Office tools, and related systems to manage information efficiently across multiple platforms
Requirements
At least 2 years of experience in client intake, legal support, case management, or a related area within a law office or legal services environment
Strong verbal and written communication skills, with the ability to conduct phone screenings and interact effectively with clients from diverse backgrounds
Demonstrated ability to stay organized, manage competing priorities, and maintain a high level of accuracy in detailed administrative work
Experience with or familiarity in e-filing, court filings, calendar management, and civil litigation support is highly valued
Proficiency using databases, electronic case management systems, Microsoft Office 365, and multiple software tools at the same time
Ability to work with empathy and care when assisting individuals facing challenging circumstances, including poverty or trauma
Knowledge of Wisconsin law is highly preferred
An associate or bachelor's degree is preferred
