Job Responsibility

  • Greet tenants and visitors warmly, leaving a positive impression every time
  • Keep reception tidy and organised, managing post and deliveries
  • Answer calls for the company and virtual tenants, transferring or taking messages
  • Programme fobs/access cards and ensure reception is always manned
  • Provide day-to-day assistance to tenants across the portfolio
  • Respond quickly to office and building queries, coordinating maintenance requests
  • Host seasonal client events in reception
  • Complete daily building checks and maintain company standards
  • Report and action maintenance issues promptly
  • Prepare show offices and communal areas for viewings
  • Manage meeting room bookings and keep lounges clean and tidy
  • Work closely with colleagues to ensure smooth operations
  • Share updates on building issues, deliveries, and urgent requests
  • Keep building documentation updated and accessible
  • Log client requests in CRM and manage recharges
  • Maintain security system records and create reports
  • Support move-ins and move-outs with checklists and inventories
  • Assist accounts with deposit returns and maintain spreadsheets

Requirements

  • A friendly, professional communicator who loves helping people
  • Strong organisational skills and attention to detail
  • Ability to multitask and stay calm in a busy environment
  • Previous experience in reception, customer service, or facilities support is a plus
  • Familiarity with security systems, CRM software, and standard office applications
