The Chief Operations Officer (COO) is a pivotal executive leadership role responsible for overseeing and implementing the daily operations performance and medium-term strategy of the Hermitage Clinic. This includes but not limited to overall management and optimisation of the hospital's clinical, therapeutic, administration and hospital services departments such as Radiology, Pharmacy, Radiotherapy, Physiotherapy, Laboratory services, Vascular, Respiratory, Administration, Admissions Consultant Support and Bed Management, ensuring seamless patient flow and optimal capacity utilisation. The role requires strong communication skills to coordinate the total day to day functioning of the facility whilst ensuring all service leads perform in their individual areas to support the smooth functioning of the whole organisation. The COO also leads the onboarding of new consultants and the development and implementation of new clinical services. The ideal candidate will possess strong operational skills, a drive for efficiency and process improvement, and commercial acumen. These qualities are essential for balancing clinical excellence with operational and financial efficiency, making the COO a key player in achieving the hospital's strategic goals.
Job Responsibility:
Oversee the daily operations of relevant departments, ensuring the delivery of high-quality and efficient services
Ensure that hospital operations run smoothly and efficiently, meeting performance targets and quality standards
Develop, implement, and enforce policies, procedures, and standards across clinical services to enhance operational effectiveness
Collaborate with department heads and clinical leaders to integrate services, streamline workflows, and improve patient care
Identify opportunities for process improvements and operational efficiencies
Implement best practices to streamline operations and reduce waste
Oversee the planning and execution of new construction projects, facility upgrades, and technological enhancements
Coordinate with architects, contractors, and project managers to ensure projects are completed on time, within budget, and to the required quality standards
Coordinate cross hospital initiatives to standardise services and benchmark productivity
Collaborate with the CEO and senior management team to develop and execute strategic plans
Align operational strategies with the hospital's mission, vision, and goals
Identify opportunities for the development and expansion of clinical services in line with the hospital's strategic goals
Coordinate with cross-functional teams to ensure successful implementation and integration of new services
Implement and maintain quality assurance and safety protocols
Ensure compliance with healthcare regulations, accreditation standards, and legal requirements
Monitor and address any issues related to patient care quality and safety with the relevant Executive
Ensure relevant Managers identify and support quality initiatives with their teams and remain JCI/HIQA/JAG/INAB compliant at all times
Work with CFO to develop and manage budgets for clinical departments, ensuring financial performance aligns with hospital objectives
Direct operations in a manner to ensure budgetary compliance with revenue and cost lines
Implement cost-control measures and resource optimisation strategies to enhance operational efficiency and profitability
Analyse financial data to inform decision-making and strategic planning
Identify and implement shared service strategies across group organisations
Lead workforce development initiatives, including training, professional development, and succession planning
Foster a positive work environment, promoting staff engagement, well-being, and retention
Deliver on a consistent program of performance management and succession planning for department managers
Implement initiatives to improve patient satisfaction and service excellence
Address and resolve patient concerns and feedback effectively through appropriate channels
Design service configuration to meet the demands of the patient
Lead the management of patient admissions, coordinating with relevant departments to optimise bed usage and minimise wait times
Collaborate with Internal and external stakeholders to maximise hospital capacity and alert CEO to any deficits so that alternative plans can be put in place
Develop and implement strategies for efficient patient flow, including admission, transfer, and discharge processes
Monitor bed occupancy and manage capacity to ensure the best use of hospital resources
Oversee the operational requirements for onboarding, and integration of new consultants, ensuring they are fully acclimated to the hospital's culture, systems, and clinical operations
Develop comprehensive onboarding programs that include orientation, training, and mentorship to support new consultants' transition
Develop and implement emergency preparedness plans, ensuring the hospital is equipped to handle crises effectively
Oversee risk management strategies, including the identification and mitigation of potential operational and clinical risks
Build and maintain strong relationships with internal and external stakeholders, including medical staff, patients, community partners, and healthcare networks
Represent the hospital in professional forums and collaborative initiatives to enhance its reputation and influence
Requirements:
Master's degree in Healthcare Administration, Business Administration, or a related field
Minimum of 10 years of progressive experience in healthcare operations management, with at least 5 years in a senior leadership role
Strong understanding of clinical services and hospital operations
Proven ability to lead, inspire, and manage multidisciplinary teams in a complex healthcare environment
Experience in strategic planning and execution, particularly in the development and implementation of new services
Strong financial management skills, including budgeting, cost control, and financial analysis
In-depth knowledge of healthcare regulations, quality standards, and compliance requirements
Familiarity with healthcare technology and innovations, including electronic health records (EHR) and telemedicine
Experience in crisis management and risk mitigation
Excellent communication skills with the ability to build strong relationships and collaborate effectively with diverse stakeholders
Clinical background or experience working closely with clinical teams
