Job Description:

The Operations Administrator plays a key role in providing comprehensive administrative support to the central Operations team and the wider management team. The Operations Administrator is integral to maintaining compliance and processes and contributing to the overall effectiveness and success of the central operations team.

Job Responsibility:

  • Support all areas of central operations team in administrative tasks such as, customs, loss prevention, health and safety and other operational demands
  • Process daily clearance instructions, ensuring all details are completed accurately and the customs clearance tracker is kept fully up to date
  • Oversee Customs Warehouse operations, including tobacco submissions to CW via third‑party agency
  • Create and maintain new product lines within the customs warehouse system and update processing templates as required
  • Complete relevant paperwork to support monthly stock removals from the customs warehouse, ensuring accurate reporting and reconciliation
  • Prepare and submit Tobacco and Spirits declarations across the business
  • Produce and submit monthly reports for both the UK and Ireland
  • Manage monthly declarations, ensuring timely and accurate submission
  • Compile the monthly shrink report for review by the Head of Central Operations and the Loss Prevention Manager
  • Conduct data analysis using Loss prevention tools, produce tailored reports to support the Loss Prevention
  • Carry out in‑depth data analysis to identify potential internal risks with clear, evidence‑based findings
  • Prepare and distribute weekly stock reports to stores, including adapting and formatting the file prior to circulation

Requirements:

  • Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
  • Strong analytical skills with ability to work with minimal guidance
  • A self-starter with good organisational skills and the ability to manage multiple tasks simultaneously
  • Excellent attention to detail and accuracy
  • Good communication skills, both written and verbal
  • Ability to fully analyse data as required

Nice to have:

Understanding of Retail Operations and/ or the Travel Industry is desirable
