Job Description:

Support the management of CSIRO’s diverse property portfolio; Contribute to the delivery of high-quality facilities services; Join a collaborative team enabling world-class scientific research; The CSIRO Business and Infrastructure Services (CBIS) team manage a complex property portfolio of over 1,000 buildings across 55 locations nationally and internationally. We have an opportunity for a CBIS Officer - Facilities to join our team; As the CBIS Officer – Facilities, you will help coordinate facilities services, manage work orders, and liaise with contractors across SA sites. This hands-on role is integral in ensuring the seamless operation of critical facilities supporting scientific research, national infrastructure, and office spaces

Job Responsibility:

  • Monitoring and reporting on facilities services to ensure contractor compliance with service agreements and CSIRO standards
  • Managing end-to-end work order processes using the Computerised Maintenance Management System (CMMS)
  • Fostering collaborative relationships with stakeholders and responding efficiently to site-based issues and service requests
  • Supporting operational needs such as inductions, permit management, site inspections, and emergency call-outs as required

Requirements:

  • Ability to work under limited direction, accept responsibility and direction, and be accountable for on-site service provision, including capability to co-ordinate trade and other services contractors to ensure delivery of services in accordance with relevant time, cost, quality, statutory and user satisfaction requirements
  • Good interpersonal skills and a sense of customer service with a diverse group of stakeholders
  • Experience with relevant computer software comprising Microsoft, Word, Excel and Outlook
  • Possess and maintain a current driver's license

Nice to have:

  • Relevant tertiary qualification or trade and previous experience in Property, Administration or Facilities Management
  • Ability to undertake occasional hands-on “handyperson style works” as required, with experience performing general maintenance duties
  • Previous experience in managing a diverse range of complex and highly serviced research and support facilities

  • Oversee the permit system to ensure all engineering departments and contractor activities comply with established standards and procedures. Act as Permit Officer
  • Supervise tradespeople and contractors engaged by the Safety & Compliance team and broader CBIS, providing support as required, including after-hours and call-out assistance
  • Identify, document and ensure that plant and equipment are isolated and de-energised as required for maintenance, contract services, repairs and minor capital improvements. Ensure all safety related equipment is always maintained in a safe and operational condition
  • Develop and deliver relevant tailored training (e.g., permit to work) for maintenance and engineering staff, including facilitating internal programs and coordinating external training (e.g. Working in Confined Spaces, Working at Heights). Assess and sign off staff competency for relevant safety training, ensuring documented evidence of training and capability is maintained in accordance with CSIRO requirements
  • Implement and manage CSIRO’s Health, Safety and Environment systems, assisting with the fulfilment of engineering management obligations under relevant legislation and CSIRO policies and procedures. Administration, updating, monitoring and reporting on safe systems of work, including housekeeping checklists, Take 5’s, risk assessments and other CSIRO safety systems
  • Lead the design, development and implementation of a safety reporting dashboard for B&IS, to ensure safety issues are addressed quickly. Prepare safety reports as required
