Job Description:

The CBIS Administration Officer is the first point of contact for staff and visitors at a CSIRO site, providing professional customer service in person, by phone and through correspondence. Based at a primary site but with flexibility to support multiple locations within the locality, the role delivers administrative and management services that ensure the smooth operation of facility management activities.

Job Responsibility:

  • Provide high-quality reception/visitor management service as first point of contact for external and internal clients
  • Respond courteously and efficiently to requests for services
  • Assist in the security of the site including management of keys, access cards, ID cards
  • Provide administrative support for vehicle fleet
  • Keep records in accordance with CSIRO's standards using Content Manager
  • Undertake administrative and facilities management tasks

Requirements:

  • Demonstrated work experience as a professional administration officer with primary focus on quality customer service through front-desk activities and visitor management
  • Excellent communication skills and ability to multitask
  • Proven ability to demonstrate initiative and actively contribute as a team member
  • Ability to recognise and seek to resolve problems as they arise
  • Demonstrated strong organisational skills and ability to prioritise demands
  • Sound keyboard skills and knowledge of Microsoft Office applications including Outlook, Word and Excel
  • Ability to manage shifting priorities, support multiple sites remotely, and respond quickly to changing operational needs
  • Proven ability to manage confidential or sensitive information with discretion and integrity
  • Strong attention to detail in handling documentation, data entry, and compliance-related processes
  • Demonstrated understanding of workplace health and safety principles
  • Experience maintaining accurate records in accordance with organisational and regulatory standards
