The Catering Coordinator supports the planning, organization, and execution of catering events across campus. This role serves as the primary liaison between clients, culinary teams, operations, and service staff to ensure seamless event delivery. The Catering Coordinator ensures all events are executed in alignment with company standards, university expectations, and contractual obligations. This position requires strong organizational skills, attention to detail, excellent communication, and the ability to manage multiple events simultaneously in a fast-paced hospitality environment.
Job Responsibility:
Coordinate all logistical aspects of catering events from inquiry through execution
Work directly with clients (faculty, staff, student organizations, external partners) to confirm event details
Prepare event orders (BEOs) and distribute to appropriate departments
Confirm room setups, equipment needs, menus, and service timelines
Conduct pre-event walkthroughs when needed
Serve as point of contact for catering clients
Respond promptly to inquiries and provide professional, solution-oriented service
Ensure client expectations are clearly communicated to culinary and service teams
Follow up post-event to ensure satisfaction
Communicate finalized event details to kitchen, service staff, and operations leadership
Assist with scheduling service staff for events (in accordance with CBA if union environment)
Ensure events are properly staffed and aligned with labor guidelines
Support on-site event oversight as needed
Enter and maintain event details in catering management system
Assist with invoicing and reconciliation of event billing
Track deposits, payments, and internal billing procedures
Maintain organized records of contracts, event forms, and approvals
Ensure adherence to food safety standards and company policies
Follow internal SOPs for event approvals and posting procedures
Support compliance with labor agreements and scheduling protocols where applicable
Ensure all necessary permits or campus approvals are secured
Requirements:

Speak and write clearly and accurately
Plan your own work and sometimes the work of others
Proficient with all Microsoft Applications
Requires basic accounting skills
Must have developed language skills to the point to be able to: Write announcements, letters, summaries, and reports, using prescribed format
Ability to work flexible hours including evenings and weekends as needed (Homecoming Weekend is mandatory)
Minimum 2 years experience preferred, 4 years experience (in catering, hospitality, or event coordination)
