Job Description:

The Catering Administrative Specialist plays a critical role in supporting the catering operations team through detailed administrative support, data management, and invoicing functions. This position requires a highly organized, detail-oriented professional who thrives in a fast-paced environment and ensures accuracy across all documentation, reporting, and financial processes.

Job Responsibility:

  • Perform high-volume, accurate data entry related to catering orders, billing, and operational reports
  • Prepare, review, and process invoices in a timely and accurate manner
  • Maintain detailed records of catering events, contracts, and financial documentation
  • Reconcile billing discrepancies and partner with internal teams to ensure accurate reporting
  • Generate weekly and monthly reports using Microsoft Office tools
  • Manage administrative documentation including contracts, proposals, and event summaries
  • Support scheduling, communication, and coordination efforts between clients and internal teams
  • Maintain organized digital and physical filing systems
  • Assist leadership with ad hoc reporting and special administrative projects

Requirements:

  • 2+ years of administrative, office support, or catering support experience preferred
  • Strong attention to detail with a high level of accuracy in data entry and documentation
  • Experience with invoicing, billing processes, and financial tracking
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
