The Catering Administrative Specialist plays a critical role in supporting the catering operations team through detailed administrative support, data management, and invoicing functions. This position requires a highly organized, detail-oriented professional who thrives in a fast-paced environment and ensures accuracy across all documentation, reporting, and financial processes.
Job Responsibility:
Perform high-volume, accurate data entry related to catering orders, billing, and operational reports
Prepare, review, and process invoices in a timely and accurate manner
Maintain detailed records of catering events, contracts, and financial documentation
Reconcile billing discrepancies and partner with internal teams to ensure accurate reporting
Generate weekly and monthly reports using Microsoft Office tools
Manage administrative documentation including contracts, proposals, and event summaries
Support scheduling, communication, and coordination efforts between clients and internal teams
Maintain organized digital and physical filing systems
Assist leadership with ad hoc reporting and special administrative projects
Requirements:
2+ years of administrative, office support, or catering support experience preferred
Strong attention to detail with a high level of accuracy in data entry and documentation
Experience with invoicing, billing processes, and financial tracking
Proficient in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
Ability to manage multiple priorities in a fast-paced environment
Strong written and verbal communication skills
Highly organized with strong time management skills
