We are looking for a detail-oriented Buyer to join our team in Hampton, Virginia. In this Contract to permanent position, you will play a critical role in managing procurement processes, maintaining accurate contract records, and supporting bid-related activities. Job Responsibility:
Conduct thorough reviews of completed contract folders to ensure accuracy and compliance
Organize and file contract folders after review, maintaining a structured and accessible record system
Create and maintain procurement history documentation for reference and reporting purposes
Update and manage action summary logs and spreadsheet records for city and school operations
Monitor and update the Sole Source log to reflect accurate procurement information
Retrieve expired contracts from file cabinets, organize them, and prepare files for archival or destruction
Assist in bid closings by recording proceedings and verifying bid tabulations
Review and calculate bid tabulations to ensure accuracy and completeness
Prepare and type bid tabulation documents for official use
Notify departments of upcoming bid expiration dates to facilitate timely renewals or replacements
Requirements:
Minimum of 2 years of experience in purchasing or contract administration
Proficiency in handling purchase orders and bid documents
Strong organizational skills with the ability to manage multiple logs and records efficiently
Attention to detail and accuracy in reviewing and maintaining procurement files
Familiarity with government purchasing processes and compliance standards
Effective communication skills for liaising with departments and vendors
Ability to work independently and collaboratively within a team environment
Proficient in using spreadsheet software for record-keeping and updates
