Job Description

Looking to start or grow your career in Buying? We’re looking for a highly organised and proactive Buyer’s Administrative Assistant to support our fast-paced retail team. You’ll play a key role in keeping our buying operation running smoothly—working with suppliers, supporting product ranges, and helping drive store performance across the UK & Ireland.

Job Responsibility

  • Creating and updating product ranges and supplier data across all categories
  • Liaising with suppliers, stores, and internal teams to ensure smooth operations
  • Owning database quality processes (templates, supplier listings, trackers and calendars)
  • Supporting stores with range updates, pricing changes, and promotions
  • Producing reports for trade meetings, performance analysis, and supplier reviews
  • Sending monthly sales reports to suppliers
  • Managing credit notes, price discrepancies, and invoicing processes
  • Monitoring competitor activity through price surveys and reporting
  • Working with Marketing to support campaigns and ensure product launches go live online
  • Providing ad hoc support to Buyers and the Buying Manager

Requirements

  • Highly organised with strong attention to detail
  • Confident using Excel (or keen to learn)
  • Strong communication and teamwork skills
  • Able to manage multiple tasks in a fast-paced environment

  • Supporting the buyer across the Beauty business – ensuring thorough knowledge of product and market
  • Negotiate the best possible terms with suppliers i.e. margin, trade discounts, markdown support, working with the Buyer and Head of Buying where appropriate
  • Forge strong partnerships with our brand partners
  • Work with the Buyer and Buying Manager to ensure that Buying decisions are based on a sound commercial framework to drive sales and profit
  • Monitor and review trade in season, making trading recommendations to the Buyer/Buying Manager where necessary
