We are seeking a proactive and detail-oriented Business Support Specialist to join our Australia office based in Sydney (Alexandria). This role is responsible for supporting and optimizing the overall operations for 3Shape in Australia & New Zealand. You will be a key player in ensuring our business runs smoothly, overseeing critical functions including administrative support, daily operations, sales ops support, inventory management, AR management and other aspects of a growing organization. Reporting to the ANZ Country Manager, you will work in close collaboration with the local commercial team as well as our global functions in Copenhagen and Poland, including Production, Global Supply Chain, and Finance. You will also be the main point of contact for our external partners, such as third-party logistics (3PL) providers.
Job Responsibility
Managing and optimizing daily operations to ensure maximum efficiency and effectiveness
Serving as the primary operational contact for our external 3PL provider
Coordinating and ensuring timely and compliant customs clearance for all imports and exports, in collaboration with our team in Poland and our local 3PL provider
Overseeing inventory management, including tracking stock levels, managing inflow/outflow, and optimizing external warehouse operations
Processing customer orders accurately and coordinating with logistics partners to ensure timely delivery schedules are met
Maintaining accurate records, reports, and documentation related to all operational activities
Managing day to day office operations, as well as collaborating with our partners
Requirements
Bachelor's degree in Business Administration, Logistics, Supply Chain Management, Finance, or a related field
3+ years of experience in a similar role such as Operations, Logistics, Sales Support, or Office Administration
Strong analytical and problem-solving skills with a data-driven mindset
Exceptional attention to detail and a high degree of accuracy
Excellent communication and interpersonal skills, with the ability to collaborate effectively across functions and cultures, across time zones in a global company
Full professional proficiency in English (written and spoken)
Advanced proficiency in Microsoft Office Suite, particularly Excel
Nice to have
Experience working within a global healthcare or medical device company
A professional certificate related to international trade, customs, or supply chain management
Experience working with an ERP system (e.g., SAP, Oracle)
