Job Responsibility

  • Support the management of multiple diaries and inboxes, ensuring priorities are clear, conflicts are resolved and schedules run smoothly
  • Provide day-to-day administrative support, producing high-quality presentations, documents and reports
  • Raise purchase orders, process expenses and support general administrative processes
  • Provide facilities support when required, including office coordination, supplier liaison and issue escalation
  • Work closely with the Executive Assistant, supporting additional duties as and when required

Requirements

  • Highly organised and dependable, with a natural ability to bring structure to busy schedules
  • Confident managing diaries, inboxes and competing priorities in a changing environment
  • Known for a strong eye for detail and pride in delivering high-quality documents, presentations and reports
  • Proactive and forward-thinking, anticipating needs and offering support without being asked
  • Comfortable staying calm under pressure in a fast-moving, ever-changing environment
  • You must have the right to work in the UK

  • Maintain document registers, version control and the timely submission of documents to our client and other relevant stakeholders
  • Maintain document logs including performance reports for certain workflows including Technical Queries and the Schedule of Submissions
  • Ensure documents comply with legal, contractual and quality management standards for auditing purposes
  • Provide support during certified management system surveillance and recertification audits including PAS 99, ISO 44001, ISO 55001, ISO 27001 and PAS 2080
  • Ensure all submissions follow the correct process and contractual workflow including formal correspondence, review procedure submissions for design and non-design submissions, technical queries and waivers
