Job Description

We are seeking an organised and dependable Business Support and Office Coordinator to provide maternity cover within our office for 1 year. This is a fully office-based position, working 5 days per week, and is primarily administration-focused, with some personal assistant support for the Managing Director and Senior Management Team. The role also includes responsibility for office management, facilities coordination, and the day-to-day management of a small office-based team. Due to close working relationships with senior leadership, a high level of discretion and confidentiality is essential.

Job Responsibility

  • Provide day-to-day administrative support to the Managing Director and Senior Management Team
  • Manage office systems and records and ensure information is kept up to date
  • Act as a first point of contact for internal and external enquiries
  • Support the coordination of meetings, company events, and general office activities
  • Diary management and meeting coordination for senior management
  • Arrange travel and accommodation as required for senior management
  • Prepare correspondence, letters, and basic reports
  • Take meeting minutes and follow up on agreed actions
  • Oversee the day-to-day operation of the office environment
  • Coordinate facilities and office services, including maintenance, contractors, cleaning, and supplies
  • Provide day-to-day coordination and support to a small office-based team
  • Assist with task allocation, workload management, and general supervision and coordination of a small team

Requirements

  • Strong organisational and time-management skills
  • Ability to prioritise tasks and manage a varied workload
  • High levels of discretion and confidentiality when handling sensitive information
  • Confident and professional when working closely with senior stakeholders
  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Previous experience in an administrative, business support, or office coordination role
