In this role, you will provide high quality Business Operations Support to the Australian Combat Systems Program Office (ACSPO) Team. You will play a central role in enabling effective governance, coordination, and day‑to‑day operations, ensuring activities are delivered efficiently, accurately, and in line with Defence requirements. Working under limited direction in a fast‑paced and integrated environment, you will manage competing priorities, coordinate complex tasking, and support executive‑level forums, travel, events, and communications. Your contribution will directly support the operational effectiveness, organisational health, and governance outcomes of ACSPO. This role suits someone who is highly organised, well-spoken, detail‑oriented, and proactive, with a positive mindset and the ability to work confidently with senior stakeholders across Defence.
Job Responsibility:
Provide timely, efficient, and positive business operations support
Manage and coordinate internal and Branch tasking and communication, including inbox management, drafting correspondence, obtaining appropriate SPO approvals, and ensuring completion in line with task requirements and deadlines
Support business meetings, workforce activities, and interviews through document preparation, Outlook scheduling, room setup, and attendee support
Assist with the coordination and management of SPO travel requirements
Manage scheduling, workforce coordination, and event planning for ACSPO, including coordination of official visits
Manage and coordinate the inwards and outwards clearance process using Defence information systems
Manage SPO office requirements, including stationery and equipment orders
Collate data and coordinate executive‑level forums, including monthly internal governance boards
Undertake data analysis and reporting on organisational health metrics
Support the Quality Management function through coordination, co‑development, review, and maintenance of controlled documentation
Where appropriate, support the Defence Business Management Unit (DBMU) in identifying and implementing process improvements across business management functions
Requirements:
Experience in business operations, workforce support, administration, or executive support within Defence, government, or a similarly complex organisation
Strong experience managing inboxes, schedules, and correspondence for senior stakeholders
Well‑developed verbal and written communication skills, with a professional and confident manner
Proficiency with Outlook, Microsoft Office, and document creation (briefs, minutes, reports, packs)
Experience using Defence systems for tasking, travel, clearances, workforce or corporate reporting
Experience supporting meetings, events, travel coordination, and executive‑level forums
A proactive mindset with demonstrated interest in process improvement and operational efficiency
NV1 security clearance or the ability to obtain one (Australian citizenship required)
Required Security Clearance Level: NV1 Preferred – pending experience will consider Baseline to obtain NV1
Nice to have:
Knowledge of Power BI or dashboarding tools is advantageous
Familiarity with governance processes, document control, and Quality Management Systems is desirable
