Job Responsibility

Welcome and assist visitors, ensuring a courteous and friendly experience while directing them appropriately
Manage and oversee administrative tasks such as handling packages, immigration-related mail, and coordinating mass mailings
Maintain visitor access logs and uphold security protocols to ensure a safe and organized environment
Perform light cleaning duties in shared spaces, such as the break room, and contribute to general office organization
Coordinate and track mail shipments using services like FedEx to support departmental needs
Learn and develop knowledge of various types of immigration matters, case types, and client processes
Perform tasks related to case preparation and filing of petitions with government agencies, including document gathering, document review, drafting, and case filing
Communicate with foreign nationals and client contacts under supervisor guidance, providing clear and timely responses regarding case status and general inquiries
Meet assigned deadlines in accordance with Service Level Agreements (SLAs) and communicate case progress, status updates, and escalations as needed
Compile and summarize large volumes of data within case management systems for reporting to clients, managers, and internal teams

college degree preferred
Previous experience working in a detail-oriented office setting, preferably as a receptionist
Familiarity with law firms or detail-oriented services environments is advantageous
Proficiency in Microsoft Word and Excel is essential
Strong verbal and written communication skills to interact effectively with clients and colleagues
Knowledge of month-end close procedures and general ledger management
Experience in journal entries, account reconciliation, and bank reconciliations
Familiarity with Elite 3E software or similar accounting tools is highly desirable

Job Responsibility
