As a Subject Matter Expert, the business centre clerk will be supporting our internal clients, these responsibilities will include, providing Canada Post mail, courier support, scanning, assisting in other Ops related roles, as well as assisting with special client related projects. This individual for this position will need to be self-motivated with excellent organizational, analytical and communication skills who has a good understanding of time management. While primarily working in the office, there may be a requirement to work from other locations. Expectations include being able to work flexible hours, sometimes outside of traditional business hours to support projects or events. Reporting to the Team Lead/Manager, the business centre clerk is required to collaborate effectively with all internal clients and is responsible for the overall in-office client experience.
Job Responsibility:
Business Centre Responsibilities (50%): Providing internal/external clients with enhanced customer care
Checking the Business Centre database (Premier office) regularly
Monitoring and forwarding incoming Right faxes
Issuing and maintaining inventory of daily security visitor passes
Emailing scanned mail/registered mail confirmation receipts
Taking on a 'Buddy' role for new hires and summer students
Notifying clients of rush inbound urgent packages
Providing backup support to the Copy Centre
Receiving and delivering large cartons
Preparing and processing registered mail and xpress post mail using Canada Post 'SendPro'
Receiving, sorting, & notifying recipients of Canada Post mail
Maintaining standard supplies in the convenience centers
Monitoring and replenishing staples supply
Sorting and distributing daily inbound/outbound interoffice mail
Sorting and packing interoffice mail for mail runs
Sorting & processing Canada Post outgoing mail including registered mail
Identifying unknown recipient mail
Logging and maintaining file cabinet distribution
Logging and maintaining file cabinet keys
Shipping Responsibilities (40%): Receiving, checking and logging all inbound courier packages
Inspecting and verifying incoming courier deliveries
Utilizing the PremierOffice database for outgoing couriers
Processing same day & overnight pick up
Providing clients with tracking information
Logging and identifying incorrect shipments
Monitoring carrier delays
Processing outbound domestic and international carriers
Processing inter-office domestic mail
Faxing, photocopying and scanning documents
Ordering Staples supplies
Checking and logging Staples orders
Other Tasks and Responsibilities as assigned (10%): Liaising with the Business Centre Team Lead/Manager
Providing Tax seasonal support, IT support, minor project management, health & safety coordination
Function as a backup for other team members
Providing support for reception coverage
Assisting with other firm and business projects
Responsible for meeting room set-ups
Providing support for and assisting with adoption of changes to firm technology
Requirements:
High school diploma required or 5 years of office service experience
Minimum of 3+ years of relevant experience in office services
Must be able to demonstrate intermediate proficiency levels in MS Office Suite (Word, Excel, PowerPoint)
Ability to work in a deadline-oriented environment
Excellent organizational skills and the ability to prioritize multiple responsibilities
The ability to work well both independently and in a team environment
Detailed-focused with the ability to complete tasks with limited supervision
Effective listening skills
