At Microlise, we are looking for a highly organised and proactive Business Administrator to join our team! In this role, you will provide essential and dedicated administrative support across the operational teams, with a primary focus on the Health, Safety, Facilities and Environmental department. This role is critical in ensuring the efficient and compliant operation of key business functions through effective administrative management and cross-functional support. As Business Administrator, you will also serve as the professional operational lead for the front office.
Job Responsibility:
Provide dedicated administrative support to the Head of H&S, Facilities, and Environmental, including but not limited to: Document Control: Assisting with the filing, preparation, and distribution of compliance documents, safety records, and environmental reports
System Updates: Performing accurate data entry and updates into various administrative systems
Purchase Orders: Raising and processing purchase order requests for the department
Provide administrative support to the Fleet Administrator during periods of absence. Duties will include: Assisting with the accurate recording of vehicle movement and status data
Supporting the coordination of scheduled vehicle servicing and maintenance bookings with the Fleet Service provider
Assisting with basic accident reporting administration
Complete general administrative requests, including managing room booking requests, assisting with catering/lunch requests, and completing company binding/laminating requests
Monitor and manage the main Reception email inbox
Meet and greet all visitors (employees, candidates, customers, contractors, and suppliers), ensuring a professional first impression
Operate the main switchboard, including redirecting calls, taking accurate messages, and answering general queries
Manage the door access card system, including enabling and disabling cards for employees and visitors as required
Process incoming and outgoing post, packages, and deliveries
Accountable for ensuring the Reception area is presentable and welcoming at all times
Requirements:
Proven experience in a similar general office administration role
Proactive, flexible, and possesses a "can-do" attitude with the ability to manage multiple tasks and priorities
Ability to work independently and autonomously with minimal supervision, while also supporting a wider team
Proficiency in Microsoft Office applications (Word, Excel, Outlook)
Excellent communication skills (written and verbal) and a professional telephone manner
A sound understanding of the importance of confidentiality and data security principles (e.g., GDPR)
