Support day-to-day business operations by coordinating schedules, helping manage administrative processes, and partnering with others across the organization to keep work moving forward. You will be comfortable handling multiple requests, following established processes, learning new tools, and communicating clearly while working with a high level of professionalism and discretion.
Job Responsibility:
Provide calendar support for three leaders, including scheduling meetings across complex stakeholders and making updates for busy calendars
Support expense and purchasing processes by reviewing submissions for completeness and routing for approval, in alignment with policy
Partner with other business support teams and cross-functional partners (e.g., HR, Finance, Staffing, and Facilities) to coordinate routine team needs
Support headcount and onboarding activities by tracking open roles, assisting with requisitions, helping onboard new hires
Coordinate team logistics, including new hire setup, equipment and supplies requests, and basic workspace support in partnership with Facilities
Support budget and spend tracking by monitoring routine expenses, flagging potential issues, and partnering with Finance and approvers as needed
Help plan and coordinate team meetings, morale moments, and events (virtual and in-person), including logistics and communications
Work effectively with stakeholders across time zones with awareness of cultural and communication differences.
Requirements:
2+ years Administrative, Business Support, and/or customer service experience
3+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work
Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience
1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)
Demonstrated ability to handle sensitive and confidential information with professionalism and discretion
Working knowledge of Microsoft tools and internal systems used for business operations (e.g., Outlook, Teams, SharePoint, and expense or procurement tools)
Demonstrated written and verbal communication skills, attention to detail, and the ability to prioritize and follow through on requests
Ability to build positive working relationships and collaborate effectively with a diverse group of stakeholders
Willingness to learn new tools and processes and apply feedback to improve ways of working.
