The Box Office Manager oversees all aspects of the daily operation of the Box Office and its staff, processing orders and payments, and providing unsurpassed customer and guest service for Mayo Civic Center. This individual works with promoters and tours to provide date availability for show inquiries, builds all ticketing for confirmed shows, and ensures all aspects of ticketing is ready and approved for on-sale.
Job Responsibility:
Oversees all aspects of the daily operation of the Box Office and its staff
Processes orders and payments
Provides unsurpassed customer and guest service for Mayo Civic Center
Works with promoters and tours to provide date availability for show inquiries
Builds all ticketing for confirmed shows
Ensures all aspects of ticketing is ready and approved for on-sale
Coordinates event information between the promoter, facility personnel, tenant teams and the ticket company
Works with event promoter and/or tour to establish ticket pricing and seating configuration
Builds and modifies all ticketed events and issues computer access codes
Maintains communication with Ticketmaster for any updates and/or revisions
Monitors the daily ticket sales for all upcoming events
Prepares cash bank and daily accurate inventory of all tickets
Responds to customer complaints and service requests
Establishes event files that correctly document how the show was built
Work with Sales and Marketing Department to ensure show builds are correct and to set up various ticket discounts and promotions
Process/fill approved charity tickets requests
Track attendance for all events
Supervises the Box Office staff, including interviewing, hiring, training, and scheduling
Trains appropriate box office personnel on latest Ticketmaster products and technologies
Trains the staff on proper cash handling procedures
Oversees proper balancing of daily sales for each ticket seller
Opens and/or closes ticket window and sells tickets as needed
Acts as the on-site Box Office representative on the day of events
Establishes and maintains positive, effective working relationships with the promoter and other show personnel
Maintains accurate record of daily balance of cash received, tickets sold and change bank/vault
Fills reservations for seats by telephone or mail, handles Will-Call window
Manages internal, external and groups ticket orders
Pays close attention to upcoming events with high/low sales volume, adjusting allotments
Processes group sales orders, complimentary ticket requests, suite and club orders and all internal ticket requests
Assists General Manager and/or Regional Booking with avails and space holds
Works in tandem with venue Finance to provide appropriate ticket and merchandise audit details and reporting
Requirements:
A minimum of 3 to 5 years of Box Office / Ticketing experience, preferably with a performing arts, convention center, sports facility, or other multi-purpose public assembly facility
Familiarity with ticketing software, preferably Ticketmaster
Knowledge of terminology and principles used in Box Office/Sales settings
Combination of education and experience may be accepted
Ability to work beyond normal business hours as required, based on event calendar
Strong listening skills and oral and written communication skills
Ability to be on feet or seated for long periods of time
Knowledge of operation services and activities of, arena, public assembly facility or convention center programs preferred
Proficiency in Microsoft Office applications and word processing, spreadsheets, database, presentation, PowerPoint, and Internet software
Knowledge of principles of finance audit and reporting, specifically with ticketing and sales
Work a flexible schedule including early mornings, days, evenings, overnight, weekends, holidays, extended (long) work days and extended number of days
