Job Description:

We are looking for a detail-oriented Bookkeeper to join our team in Orlando, Florida. In this role, you will manage critical financial tasks, including accounts payable, accounts receivable, payroll processing, and bank reconciliations. The ideal candidate will have strong organizational skills and a thorough understanding of bookkeeping principles to ensure the accuracy and security of financial records.

Job Responsibility:

  • Monitor the accounts payable shared mailbox, save vendor invoices to designated server locations, and accurately enter bills into QuickBooks for payment
  • Establish new vendor accounts in QuickBooks, collect necessary documentation such as W-9 forms, and prepare for 1099 reporting as required
  • Process payables efficiently and oversee timely payments across multiple business entities
  • Reconcile monthly bank, loan, and credit card statements with internal accounting records
  • Verify and process employee expense reports, ensuring proper documentation and alignment with account balances
  • Review vendor invoices for accuracy, resolve discrepancies, confirm proper coding, and validate vendor details, including federal ID numbers
  • Generate and send client invoices based on specific contract terms, such as project milestones, time and materials, or fixed-fee agreements
  • Prepare monthly accounts receivable reports for management, highlighting overdue accounts or potential collection concerns
  • Process company payroll bi-weekly through QuickBooks, ensuring accuracy in deductions for taxes, benefits, and retirement contributions
  • Partner with HR to ensure payroll compliance with federal, state, and local regulations and address any discrepancies in timesheets or payroll records

Requirements:

  • Proven experience in bookkeeping
  • Strong understanding of accounting principles
  • Proficiency in QuickBooks and other accounting software systems
  • Hands-on experience with accounts payable and accounts receivable processes
  • Ability to perform bank reconciliations and resolve discrepancies
  • Familiarity with payroll processing and compliance, including wage laws and tax regulations
  • Strong organizational and time-management skills to meet monthly and quarterly deadlines
  • Excellent attention to detail and accuracy in financial documentation
  • Effective communication skills to collaborate with vendors, clients, and internal teams
