We are looking for an experienced Bookkeeper/Office Manager to support daily accounting and administrative operations in Rochester, New York. This position is ideal for someone with a strong bookkeeping background who can help keep financial records accurate, organized, and up to date while serving as a dependable partner to the finance team. The role offers the opportunity to contribute to core accounting activities, assist with office administration, and provide reliable backup support for the accounting team in an on-site environment.
Job Responsibility:
Oversee day-to-day bookkeeping functions by maintaining accurate financial records and keeping ledger activity properly balanced
Record routine and adjusting entries, including items related to payroll, accruals, and prepaid expenses
Assist with monthly and annual close activities by preparing supporting documentation and helping meet reporting deadlines
Manage incoming and outgoing cash activity, including deposit recording, payment processing, and related transaction tracking
Reconcile bank accounts and other financial records to identify discrepancies and ensure reporting accuracy
Help prepare financial statements, reports, and schedules needed for internal review and business operations
Provide documentation and accounting support during audit activities and other financial reviews
Monitor adherence to internal procedures and applicable financial requirements while maintaining organized records
Recommend and support more efficient administrative and accounting workflows, including potential improvements to existing systems and processes
Serve as backup support to the Staff Accountant while contributing to general office administration as needed
Requirements:
At least 3 years of experience in bookkeeping, office management, or a closely related accounting support role
Hands-on experience with accounts payable, accounts receivable, and bank reconciliation activities
Working knowledge of QuickBooks and Microsoft Excel, including the ability to use functions such as VLOOKUPs and pivot tables
Comfortable using Microsoft Outlook and other standard office tools in a workplace setting
Ability to work on-site Monday through Friday and attend an earlier start time on the second Wednesday of each month for a union meeting
Strong attention to detail with the ability to manage multiple priorities and maintain accurate financial data
Experience in a union environment is helpful, though not required
Practical, experience-based accounting knowledge is valued more highly than a specific degree requirement.
