Job Responsibility

  • Generate, review, and send invoices to clients accurately and on schedule
  • Maintain records of all billing transactions and ensure data integrity in financial systems
  • Follow up with clients regarding outstanding payments and manage collections processes
  • Address and resolve client billing questions or disputes in a timely, professional manner
  • Monitor and reconcile accounts receivable to ensure payments are received and posted correctly
  • Work with Accounting and Finance teams to support month-end and year-end closing
  • Research and resolve discrepancies related to billing and payments
  • Prepare regular reports on billing activity, past due balances, and client account status
  • Process adjustments, credits, and refunds as needed and document related transactions
  • Maintain confidential financial and client account information per company policy
  • Assist in the setup and upkeep of client billing accounts and payment profiles
  • Support process improvement initiatives to enhance billing accuracy and efficiency
  • Collaborate with sales, account management, or operations teams to resolve client or internal concerns
  • Comply with all relevant regulations, company standards, and internal controls regarding billing practices

Requirements

  • Strong attention to detail and high level of accuracy in data entry and recordkeeping
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with accounting or ERP systems
  • Excellent verbal and written communication skills
  • Ability to manage time effectively and prioritize tasks in a deadline-driven environment
  • Customer service mindset for handling internal and external inquiries
  • Problem-solving abilities and analytical thinking
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Basic understanding of accounting principles and billing processes
  • Previous experience in billing, accounts receivable, or a similar administrative/accounting role preferred
  • Bachelor's degree preferred
