We are looking for a bilingual Spanish-speaking front desk team member to support housing-related administrative and resident-facing services in Chelsea, Massachusetts. This Contract position plays an important role in welcoming visitors, handling inquiries, and assisting with eligibility, rent-related communication, and appointment coordination. The ideal candidate brings strong organization, attention to detail, and communication skills while managing sensitive information with care.
Job Responsibility:
Welcome applicants, tenants, and visitors at the front desk while providing courteous bilingual support in Spanish and English
Review income information and apply established guidelines to help calculate tenant rent amounts accurately
Evaluate application details against housing program criteria to support eligibility determinations
Draft and distribute written notices regarding rent updates, appointments, and other tenant-related matters
Conduct interviews with applicants and residents, including arranging and confirming re-examination meetings
Maintain complete and accurate files by entering data, organizing documentation, and safeguarding confidential records
Coordinate calendars for interviews, orientations, and other office appointments to ensure timely follow-up
Prepare clear correspondence such as letters, emails, and memos while responding to questions about policies and procedures
Partner with property management and internal teams to support occupancy goals and assist with outreach efforts that help reduce vacancies
Requirements:
Fluency in both Spanish and English, with the ability to communicate clearly with applicants, tenants, and staff
Experience working in a front desk, receptionist, customer service, or administrative support role
Proficiency with multi-line phone systems and standard office software, including Microsoft Word, Excel, and Outlook
Strong data entry skills with close attention to detail and accuracy in recordkeeping
Ability to schedule appointments, manage files, and handle multiple priorities in a fast-paced office setting
Strong interpersonal skills and the ability to explain policies and procedures in a clear, respectful manner
Discretion in handling sensitive tenant and applicant information while maintaining confidentiality
