Job Description

We are looking for a detail-oriented Administrative Assistant to provide comprehensive support to the Executive Director's office in Los Angeles, California. This Contract to permanent position is ideal for someone who excels in administrative tasks, thrives in a detail-oriented environment, and can maintain strict confidentiality. Job Responsibility

  • Draft and prepare correspondence, reports, proposals, and grant documents with accuracy and attention to detail
  • Offer backup support to the Executive Assistant and act as the primary assistant when the Executive Assistant is unavailable
  • Coordinate meetings for the Board of Directors and its committees, ensuring smooth scheduling and organization
  • Provide both written and verbal translation services as needed
  • Assist the Executive Office in managing community advisory committees and Board of Directors' activities
  • Handle Fair Hearing forms and other reporting data in a timely and organized manner
  • Maintain confidentiality in all office operations
  • Manage incoming calls and inquiries, ensuring prompt and courteous responses
  • Facilitate data entry tasks to support organizational needs
  • Perform receptionist duties, including greeting visitors and managing front desk operations

Requirements

  • Proven experience in administrative support roles, preferably in a non-profit setting
  • Ability to type a minimum of 45 words per minute with accuracy
  • Strong organizational and multitasking skills to handle various responsibilities efficiently
  • Exceptional verbal and written communication skills
  • Proficiency in managing meetings and coordinating schedules
  • High level of discretion and ability to maintain confidentiality
  • Flexibility to work varying hours as needed

Nice to have

Bilingual abilities for both written and oral translation services are a plus
