Supporting our internal clients, responsibilities will provide reception support for Montreal as well as assist with other general administrative duties as required. This position requires a self-motivated individual with excellent organizational, time management and communication skills
Job Responsibility:
Receive and transfer calls
Reception and registration of visitors
Provide basic information to staff and customers
Implement the office opening / closing procedures (lights, opening and closing doors, etc.)
Processing mail and messaging, receiving and distributing faxes
Management of conference rooms (catering support as needed)
Maintaining the visitor waiting area
Support the daily activities of the office
Settle questions relating to installations with the operations manager as well as make service calls
Processing of supplier invoices
Drafting of standard and personalized correspondence, preparation of mailings (labels, enveloping, assembly of documents, etc.)
Any other administrative work to achieve the team's objectives
Requirements:
Experience: A minimum of 5+ years of relevant experience in office services (previous experience in a Professional Services Firm preferred).
Education: High school diploma required (post-secondary education an asset).
Languages: Must be fluent in French and English to communicate regularly with clients located both inside and outside of Quebec.
Software: Must have proficiency in Microsoft Office 365.
Specific Knowledge: Ability to adapt to technology and learn intermediate software functionalities quickly.
