Job Description:

We are seeking a detail-oriented Bilingual Mandarin Administrative Assistant to provide contract support for a dedicated team in New York, New York. This contract position, lasting approximately 2–3 months, offers a dynamic mix of office administration and executive assistance tasks. The role includes both onsite and remote work, with specific scheduling requirements.

Job Responsibility:

  • Deliver comprehensive office support to ensure smooth daily operations
  • Coordinate and manage schedules, appointments, and calendars for team members
  • Oversee office supply orders and maintain inventory through Amazon
  • Organize the visitor system and ensure the office remains tidy and functional
  • Act as the primary IT contact for troubleshooting and technology assistance
  • Set up and manage Zoom meetings, including handling technology for in-office events
  • Communicate effectively with staff, vendors, and visitors to address needs and inquiries
  • Utilize Mandarin fluency to support executive and team communication

Requirements:

  • A minimum of 3–5 years of relevant administrative experience
  • Proficiency in Microsoft Office Suite, including Excel and PowerPoint
  • Familiarity with Zoom and other office technology
  • Strong organizational skills with the ability to multitask effectively
  • Excellent verbal and written communication abilities
  • Prior experience in a financial or detail-oriented services environment is preferred
