The incumbent will be responsible for providing efficient and high-quality administrative support to the VP of Business Development and, to a lesser extent, support for any in-person meetings. The successful candidate will be a self-confident, creative, innovative thinker with superior organization and time management skills, and the ability to handle a variety of responsibilities. The role is fast paced with multiple demands and requires a demonstrated regard for confidentiality and a high level of judgment.
Job Responsibility
Manages all aspects of the VP’s calendar to ensure meetings are prioritized with internal and external clients/business partners as appropriate
Manages all travel arrangements
With frequent travel involved, the EA will need to take ownership of travel coordination and proactively support and make decisions on behalf of the manager as needed
Manages the administrative budget work for the VP (expense reimbursements, purchase orders)
Willing to step in and support day-to-day operational needs such as ordering meals, booking meeting rooms, and coordinating logistics
Actively collaborates with other Executive Assistants through Teams chats to ensure alignment and seamless support
Demonstrates strong people management and coordination skills while supporting leaders and cross-functional teams
Monitors VP’s emails and manages those that request time for meetings
Proactively anticipates the needs of the VP in a dynamic and fast paced environment
Assists in the preparation (including reviewing French version) and distribution of internal and external communications
May support events and perform other administrative duties as required
Requirements
A minimum of 8 years’ experience working as an Executive Assistant supporting senior leaders
Demonstrates strategic thinking and “out-of-the-box” problem-solving to support leader effectiveness
Ability to seamlessly manage and “own” the executive’s calendar, prioritizing meetings, resolving conflicts, and ensuring optimal time management
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Ability to handle highly confidential and sensitive information with integrity and discretion
Exceptional interpersonal skills, with the ability to build strong relationships and collaborate effectively across teams, while also working independently
Strong organizational and time management skills, with the ability to manage competing priorities effectively
Bilingualism: Full professional fluency in both French and English is mandatory, as you will regularly communicate with clients and stakeholders outside of Quebec.
