We are looking for a detail-oriented Executive Assistant to provide critical administrative support within a dynamic healthcare environment. This contract-to-permanent position is based in Lawrence, Massachusetts, and offers an excellent opportunity to contribute to academic and research initiatives while honing organizational and communication skills. The ideal candidate will bring a background in administration or healthcare, with strong proficiency in data management and research coordination.
Job Responsibility:
Act as the primary liaison with medical schools across the country to manage student elective rotations, including applications, acceptances, and communication
Organize and maintain residency data required for accreditation, evaluations, and scholarly activity reports
Provide administrative assistance to residency leadership, including supporting the Research and Medical Student Directors
Coordinate research-related tasks such as grant writing, manuscript preparation, and conference submissions, while overseeing research assistants
Ensure smooth execution of weekly faculty meetings by preparing necessary materials, arranging breakfasts, and setting up literature
Manage calendars, book travel arrangements, and coordinate executive meetings to streamline operations
Utilize advanced functions and formulas in Excel for daily data management tasks
Work independently with minimal supervision, demonstrating professionalism and attention to detail
Collaborate with team members to maintain workflow efficiency and address program needs
Requirements:
Bachelor’s degree with at least three years of administrative experience, preferably in an academic or healthcare setting
Strong organizational skills and the ability to handle multiple tasks independently
Proficiency in Microsoft Excel, including advanced functions and formulas
Experience with calendar management, travel arrangements, and executive meeting coordination
Ability to effectively communicate and liaise with stakeholders in academic and healthcare environments
Exposure to research administration or data management is highly desirable
Flexibility to work onsite one day a week for faculty meeting preparations
Detail-oriented approach and ability to adapt to dynamic team requirements
