We are seeking a highly experienced and polished Bilingual Executive Assistant to provide full-time administrative and calendar management support to a senior-level leader. This position requires exceptional judgment, professionalism, and the ability to operate independently in a fast-paced environment.
Job Responsibility:
Calendar & Schedule Management (Core function of the role)
Manage a complex, high-volume calendar involving meetings, luncheons, community events, and various external engagements
Coordinate scheduling with high-level internal and external stakeholders
Ensure meeting invitations are accurate, distributed, and updated across calendars for all participants
Send timely reminders throughout the day to keep the leader on schedule
Daily Meeting Preparation
Prepare a comprehensive daily binder with next-day meeting details, including agendas, supporting documents, maps, directions, and logistics
Administrative Support
Provide occasional phone coverage
gather information from callers—often individuals expressing concerns—and route details to the appropriate contacts
Assist with light travel coordination
Handle occasional accounts payable tasks as assigned
Draft memos, review formal documents, and make basic edits for clarity and accuracy
Additional Expectations
Comfortable working in an environment where many processes are paper-based, including paper calendars and printed reference materials
Use sound judgment in determining when to seek guidance versus when to proceed independently
Maintain a high level of confidentiality, composure, and professionalism at all times
Requirements:
Fluency in Spanish and English (spoken and written)
15+ years of combined administrative and executive assistant experience
At least 5 recent years supporting C‑suite or senior-level leadership
Strong writing and editing skills
Solid understanding of traditional administrative functions such as printing, labeling, and document preparation
Exceptional organizational skills
Demonstrated ability to handle sensitive situations with tact, professionalism, and discretion
Nice to have:
Experience supporting leaders in complex, highly visible, or community-facing environments
Familiarity with settings requiring diplomacy, confidentiality, and accurate communication across diverse groups
