Job Description

The Bilingual Clinical Patient Services Representative serves as a key member of the Care Team for a designated office and assists with post-visit communications and workflows to facilitate quality healthcare and a best-in-class patient experience. This includes ensuring patient diagnostic imaging, labs, prescriptions, and other activities are processed timely and accurately, and according to the providers’ direction.

Job Responsibility

  • Initiate outgoing calls to patients with pending post visit care
  • Manage patient care and provider relation
  • Manage turnaround time for encounters
  • Receive and process e-prescription request from the pharmacy
  • Call-in and submit patient medication to pharmacy as instructed by provider
  • Contact insurance companies to receive prior authorization for medication
  • Correspond with providers through electronic medical record system (eClinicalWorks) regarding patient activity
  • Answers patient inquiries regarding general medical questions
  • Obtain necessary personal and clinical information from patients
  • Accurately document telephone encounters
  • Receive test results from providers through telephone encounters
  • Contact patients by phone in a timely manner, ensuring test results are conveyed accurately and privately following all HIPAA regulations as instructed by the patient record
  • Performs other duties as assigned

Requirements

  • High School graduate or equivalent education
  • Bilingual/Spanish speaking
  • Proven history of driving a positive patient experience
  • Completion of an accredited Medical Assistant Program with a current Medical Assistant Certification/Registration
  • 2+ years’ work experience in a clinical private practice setting with EMR experience
  • Must be able to work quickly and efficiently to initiate high volume of outgoing calls
  • Demonstrated ability to organize, coordinate, prioritize, and facilitate many on-going tasks
  • Professional verbal and written communication skills
  • Ability to work independently or with a team
  • Must be able to report to work as scheduled without delay
  • Professional appearance and positive attitude
  • Excellent communication and problem-solving skills

  • Coordinates and manages physician clinic schedules
  • Welcomes patients as they contact the office either personally or by telephone, and explains the services available, payment categories, and billing procedures
  • Manages check-in and check-out functions. Verifies demographics of new patients and scanning insurance cards for the medical file. Gives patient forms prior to meeting with the provider and verifies that the patient has completed the forms completely and accurately, including signature and date. Adds completed forms to the medical file

  • Collects deposits or co-pays/deductibles prior to the patient being seen by the provider per established policies and procedures. Reviews account for balances due. Informs patient of their outstanding balance, collects said balance, and issues cash receipt when monies are collected
  • Answers all incoming calls and route them to the appropriate staff, phones must be answered within 3 rings and phone ring volume must be turned up to level 5
  • Reviews daily clinic schedule to ensure appropriate authorizations/co-pays. Works closely with clinical staff to assure smooth patient flow and cut down on waiting time
  • Makes reminder calls for next day appointments. Follows up on no show patients on a daily basis
  • Provides excellent customer service and assistance to patients of the practice
