We are looking for a highly organized and bilingual Administrative Assistant fluent in both English and Spanish to join our team in San Rafael, California. This long-term contract position is ideal for someone who thrives in a dynamic environment and enjoys providing exceptional administrative support. The role involves managing various office tasks, facilitating communication, and ensuring smooth day-to-day operations.
Job Responsibility:
Provide comprehensive administrative support, including preparing reports, maintaining schedules, and handling confidential records
Manage calendars by scheduling meetings, booking appointments, and coordinating events
Perform general office tasks such as filing, data entry, and ordering supplies to maintain efficient operations
Act as a communication liaison between team members, clients, and vendors, ensuring timely and accurate information exchange
Answer inbound calls and assist with receptionist duties, delivering excellent customer service
Support team members with various clerical duties and special projects as assigned
Ensure all administrative tasks are completed accurately and on time, adhering to company standards
Utilize Microsoft Office Suite to prepare documents, spreadsheets, and presentations as required
Requirements:
High school diploma or equivalent
additional education or certifications are advantageous
Fluency in both English and Spanish, with strong verbal and written communication skills
Minimum of 2 years of experience in an administrative support role
Exceptional organizational skills and attention to detail
Ability to effectively manage multiple tasks and prioritize workloads in a fast-paced environment
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
Strong interpersonal skills and a customer-focused attitude
Previous experience in receptionist duties or data entry is preferred
