Job Description

We are looking for a highly organized Bid Coordinator to join our team in Itasca, Illinois. This contract-to-hire opportunity is ideal for someone who enjoys managing information accurately, supporting proposal activity, and keeping documentation organized in a fast-paced environment. The person in this role will help maintain efficient administrative workflows while ensuring bid-related materials are prepared clearly and submitted on time.

Job Responsibility

  • Receive and analyze Requests for Quotes (RFQ) to identify key requirements and develop a comprehensive bid strategy
  • Be completely knowledgeable and able to execute on the following contracts and tasks: Tailored Logistics Support (TLS) Special Operation Equipment (SOE), TLS Fire and Emergency Services (FESE)and Equipment and Federal/Government agency Requests for Quotes (RFQ)
  • Collaborate with teams to gather necessary information for the submission of Requests for Quotes (RFQ)
  • Read and extract data from manufacturer quotes for bid submission
  • Submit bids for SOE/FESE utilizing Salesforce
  • Track progress against bid timelines, identify potential issues, and escalate concerns to relevant stakeholders to meet submission deadlines
  • Communicate with Contracting Officials at the Defense Logistics Agency (DLA) on the status of RFQ's and pricing information requests
  • Monitor the status of submitted bids, analyze win/loss data, and provide feedback to improve future proposals
  • Coordinate and assemble bid and proposal documents by gathering required information, formatting materials, and checking for completeness before submission
  • Enter, update, and maintain data accurately across internal files, logs, and tracking systems to support day-to-day bid activity
  • Communicate with internal teams and external contacts through clear email correspondence to obtain details, confirm deadlines, and share documentation
  • Organize digital and paper records by filing, scanning, and labeling materials so important information can be retrieved quickly when needed
  • Use Microsoft Excel and Microsoft Word to prepare reports, update spreadsheets, create documents, and support proposal-related administrative tasks

Requirements

  • Previous experience in bid coordination, project management, or project coordination is a plus
  • Knowledge of RFQ (requests for quotes)
  • Strong accuracy and typing skills with the ability to manage large volumes of information with attention to detail
  • Proficiency with Microsoft Excel and Microsoft Word for document preparation, data tracking, and general office support
  • Ability to write clear and detail-focused email communications when working with internal teams and external partners
  • Experience organizing files, scanning documents, and maintaining structured records in both digital and physical formats
  • Comfortable performing basic calculations and reviewing numerical information for accuracy
  • Demonstrated customer service skills and the ability to manage multiple tasks in a deadline-driven environment

  • Deconstruct bid briefing documents and co-ordinate early Pursue/No Pursue and Go/No Go decision making
  • Plan, coordinate and program manage the entire bid process for responding to bids, EOIs and Frameworks
  • Facilitate the development and completion of bids, EOIs and Framework responses by gathering technical, commercial and financial information
